Remember to do this before your employment at USN is ending

On this page you will find information about what’s important to keep in mind regarding your IT-account and the access to your own data when your employment at USN is ending

It is Section for payroll and personell services in the PO-department that sets the status END on the employee in FS based on information they receive in the archive system Public360.

When your account gets status END, :

  • You will receive an automatic e-mail notification the day after you are set to END in FS.
  • Your account is automatically
    • Suspended after 30 days
    • Deleted after 120 days
  • Retirement?
    If you retire, your status is set to END, and you lose all access if you do not enter an emeritus agreement with USN. Here you will find more information about resignation and the emeritus agreement at USN.
  • Access to USN intranett and email-lists?
    When you are set to END in FS, you also lose access to https://my.usn.no/. You will also be removed from all organizational mailing lists (institute, faculty, section, department), but retain membership in campus mailing lists of which you are a member. All other IT services will be available until your actual IT-account is closed after 30 days.
  • Teams
    When you are put to END in FS, you lose access to organizational teams in Teams. Access to other teams is maintained until the account is deactivated. If you have uploaded files in teams, these will remain even if your account is deactivated and deleted.
  • Microsoft 365
    If you have downloaded all or parts of Microsoft 365 Apps by logging in to Microsoft 365, the license will stop working some time after your user account is deleted. You will notice this when a message pops up stating that the program (Word, Excel, etc.) is not licensed and many features will stop working. You must then buy your own license.
  • Email account
    30 days after the status is set to END, you can no longer logon to your e-mail account. The account itself will be deleted at the same time as the user account, after 120 days. You must therefore, in good time before you quit, take care of all important e-mails and addresses. It is also a good idea to set up an automatic reply with reference to your new e-mail address a few weeks before you leave.  Automatic replies will work until your account is deleted.
  • Files stored at USN servers and OneDrive
    When your IT-account is closed after 30 days, you also lose access to files you have saved. Remember that your files can be stored in many places. You must take care of the files you need in good time before you leave. Files you save in your personal home folder, M:, and in OneDrive will be automatically deleted some time after your IT-account is deleted. Files you save in the shared folder, V:, will remain there if you do not delete them yourself. The same goes for L: and O: if you have stored files there. If you have been assigned a personal area on P: (research data), you must clarify with your nearest leader whether the content there will be useful to USN after you quit, before deleting the files.
  • Personal website
    If you have used your personal website for web pages or other file storage, then there is no automatic deletion, but the website can in theory be deleted at any time after the user account has been deleted. Therefore, if you want it to be deleted at the same time as you leave, you should delete the site yourself. If you have had other websites (for projects etc.) that are no longer relevant, you should either delete this/these yourself, or report to it-support@usn.no that this/these can be deleted, or say how long this/these should be available before deletion can take place. In that case, remember to send a link(s) to IT support.
  • IT-equipment
    All IT-equipment must be returned to the IT-department, unless otherwise agreed.
