Things to remember when you end or finish your studies with USN

On this page you will find information on what’s important to keep in mind regarding your IT-account and the access to your own data when you end / finish your studies with USN.

There is full automaticity between the Student Register (FS) and our IT user database. Your student IT-account is automatically created with a student number as the username when you become active in FS, and in the same way, your IT-account get automatically closed and then deleted a while after the status is no longer active (graduated, ended, revoked).
You will receive an email to your private email address 19 days before your IT-account is suspended, and the a new message 15 days before it is deleted. If you believe this is wrong, you should contact your study supervisor immediately. 

  • If your account has status Graduated or Ended, your account will automatically get
    • Suspended after 90 days
    • Deleted after 120 days
  • If your account has status Revoked or Withdrawn, your account will automatically get
    • Suspended after 20 days
    • Deleted after 50 days

 

  • Continue as a student next fall?
    If you end your studies in June, but are starting new studies with USN in August, you don’t have to do anything. Your user account will then be open all summer, and it will be updated with your new course details when study admission finishes in FS, approximately around August 1.
     
  • Leave of abcense?
    If you are granted leave from your studies, you do not need to do anything. Leave is considered an active status in FS, and your IT-account will remain open through the leave period. 
     
  • Finnished studying?
    If you finish your studies with USN, and it is more than 4 months until you possibly return as a student, then your IT-account with all content will be automatically deleted. You will keep your current student number in FS, meaning when you return later to study with USN you will have the same username (student number), but you IT user account needs to be reactivated.
     
  • Access to Canvas
    When your status in FS gets changed to graduated, ended or revoked, you will lose access to your subjects in Canvas the day after. However, you will still have reading rights to all subjects through the button “Subjects/All Subjects” and access to files you have uploaded through your profile under “Files” until you IT- account is closed.
     
  • Student email account
    If you got important messages on your @student.usn.no email account, you must export/forward these before your IT-account is blocked.
     
  • Microsoft 365
    If you have downloaded MS Office 365 to your private PC or other devices, then the license will stop working a while after your IT-account is deleted. You will notice this by a message saying that the program (Word, Excel, etc.) is not licensed and many features will stop working. To continue using Office 365, you must either use another Microsoft account with an active license, or you must purchase your own license. There are also free options like LibreOffice and OpenOffice with similar functionality. 
     
  • Files stored at USN servers and OneDrive
    When your user account is closed you also lose access to files you have saved. Keep in mind that your files may be stored in multiple locations. You must take care of the files you need well in advance before the account gets blocked. Files you save in OneDrive will be automatically deleted sometime after your IT-account is deleted. Keep in mind that if you have set up automatic synchronization between OneDrive and private devices, you have to turn off this synchronization to prevent the files from being deleted on your private device.
     
  • Personal website 
    If you have used your personal website for web pages or other file storage, there is no automatic deletion, but the site can in theory be deleted at any time after the IT-account is deleted. Therefore, if you want it to be deleted at the same time as you quit/finish, you should delete the site yourself. If you have had other websites (for projects or similar) that are no longer relevant, you should either delete this/these yourself, or report to it-support@usn.no that this/these can be deleted. In that case, remember to send with link (s) if you contact IT-Support. 
     
  • Use studentweb without USN user account
    If you need to log in to StudentWeb after your IT-account is terminated, then you must select “Login through the ID port” and not “Login by Feide”.
