Disk-file (Encrypted Virtual Disk)

In order to store yellow data securely, you can use an encrypted disk-file.

Storing yellow data on students' private PCs in connection with student projects at USN

What is yellow data?

Introduction

When encrypted disk-file is connected to a PC, the same disk appears in Windows Explorer / Explorer or in the Finder on Mac. The disk file is encrypted and will not be readable without a password. It is therefore also very important that you do not forget the password you choose when preparing the disk file. The disk-file should be stored in the OneDrive directory locally on your private PC so that the OneDrive client is automatically synced to your OneDrive account Office365 cloud.This means that you have backup if the PC becomes defective or lost.

Prerequisites

It is assumed that the private PC to be used has basic security:

  • Security mechanisms such as antivirus, firewall and automatic installation of updates must be activated.
  • The PC must also have a screen protector which, after a maximum of 15 minutes of inactivity, locks the PC and requires a password for continued use.
  • OneDrive must be activated / installed according to the description on min.usn.no (how to activate OneDrive).

Disk-File Preparation

In short, the process consists of downloading a disk-file, saving it to your OneDrive directory, and choosing a password.

Procedure for Windows

You can choose one disk-file; 100 MB or 1 TB. The files are encrypted and prepared so that they can be downloaded and saved to your OneDrive directory locally.

  • If you do not need audio or video, the file of 100 MB is probably enough.
  • If you need a lot of storage space, for example for audio or video recording, select the file of 1 TB.

  • Download the disk-file and move it to your OneDrive directory (or save it directly)
  • Right-click on the file and select Mount
  • You will then get a new disk-file (a new area) in Windows Explorer.
  • Right-click on the new disk-file and press «Unlock drive»
  • Enter the temporary password: 12345678
  • It is now important to change the password. Right-click on the disk again and select: BitLocker Encryption Options

Note! On some versions of Windows10, this option is not available. In such cases, IT-support can help students set a password.

  • Then click on Manage your Password in the dialog that appears. Enter a new password and confirm it in the field below and then click Reset Password.

Note: Some of the text and options may differ on different versions of Windows10.

The disk-file (area) is now ready for use and you can store your data on it. Green and yellow data can be stored securely on this disk.

When you have finished using the encrypted disk-file, it must be disconnected. To do this in Windows Explorer, right-click on the disk and select Eject. The disk-file is then no longer available. To resume work, you will need to find it in the OneDrive directory again. Right-click and select mount and enter your selected password.

The disk-file is kept open when it is connected (mounted). Then the OneDrive client stops syncing to the cloud. Synchronization will normally start automatically when the computer is restarted, but to make sure that the synchronization of the disk-file is resumed so that you have back-up, you can and should pause and then resume (resume).

This is done by right-clicking OneDrive icon in the "system tray" (bottom right of the screen) and select Pause syncing in e.g. 2 hours (you do not have to wait 2 hours to continue). Then right-click the OneDrive icon again and click in the yellow area to Resume Sync. When the synchronization is complete, the status icon of the file in the OneDrive directory will change from: Sync pending to Synced.

Procedure for the Mac

This file is a 1 TB disk file (SparseImage file) that is encrypted and prepared so that it can be downloaded and stored on your OneDrive directory locally.

Note! Download the MAC-EVD-USN.zip file via the link above. Then extract the EVD-USN.Sparseimage file to your OneDrive directory locally.

  • Start copying and saving the file to your OneDrive directory locally.
  • Then set a new password on the image file by running the following in a terminal window:
  • Hdiutil chpass OneDrive\-\USN/EVD-USN.sparseimage
  • Enter password. The temporary password is 12345678
  • Then press Enter. You will then be asked to set a new password, which you will then need to confirm. Complete this.
  • Then double-click the EVD-USN.sparseimage file in the OneDrive directory in the Finder.
  • Enter the password you just selected and press OK.
  • You will now be able to see the disk in the Finder. And you can then save files to disk and edit (edit) files stored there.

IMPORTANT: Remember to “eject” the image file when you have finished using it. If you do not, you can not be sure that you have an updated backup of OneDrive in the cloud. Finally, check in OneDrive that the file gets the status of synchronized after you disconnect the disk file
