How to install and configure OneDrive

OneDrive for Business is a cloud storage service and an integral part of Microsoft 365

The user manual is different depending on which version of the "client" you have.
Onedrive, the actual synchronization client, connects to the "service" OneDrive.

 

Important to know

YOU are responsible for not synchronizing content with personal information, or information that is sensitive for other reasons (information that others should not have access to).

When working with synchronization, you need to know a little about what it means. IT at USN has no control over data in this service. Read all the points!

  • If you create a document in a folder in the cloud, and then it synchronizes the folder to your PC, then the folder with the file will appear where you have chosen the client to store synchronized files.
  • This folder will take up as much space on your local hard drive as in the cloud, make sure there is enough space to avoid problems with missing files. One can choose to sync some folders instead of all.
  • Do not sync with M: \ (employees) or other storage services, it will cause problems. OneDrive is designed to sync between cloud and local drive.
  • Do not expect the synchronization to happen immediately, if something is important to get to the PC or out in the cloud before one quits, check the status before one quits.
  • If you delete a file (or folder) in a synchronized folder, it will be deleted in all the places you have chosen to synchronize to, including the cloud! This also means: if you get a virus on a PC and files in a synchronized folder become infected, then the files in the cloud and on other synchronized machines will be infected. USN has no ability to recover deleted files on onedrive, Microsoft decides at any time whether to offer this

 

Configure OneDrive

1. Select the search icon at the bottom left of the screen, type OneDrive Desktop App and open the application.

2. Enter <username> @ usn.no, and your password when prompted

3. Select the default folder, it is usually recommended (a possible private onedrive and USN onedrive end up in different folders as standard so you do not have to take care of it yourself).

4. Choose which folders from the cloud you want to synchronize to your machine (here it is a good idea to think about how much space you have available, see bottom of picture).

Tip: Select Default or only the folders you know you need.

 

If onedrive does not ask for login itself, you can right-click on the onedrive icon at the bottom of the screen by the clock and select settings. It is gray when you have not logged in, blue when you have logged in to a usn account, and white when you have logged in with a private account.

 

In windows explorer see a fully synchronized folder with green ticks. There may be a red check mark on "onedrive", then it will not be able to connect to the service to Microsoft, there may be blue arrows in a circle, then it will work to synchronize the computer with the cloud.

Word

Word, Excel, PowerPoint, Project, Publisher, Access and Visio are similar and work interchangeably.

This instruction manual is made for word.

  • Log out of word and log in again and the onedrive service should be visible in the file menu. To do this, go to "file" -> "account" -> "log out".
  • Then select "log in" and enter <username> @ usn.no and your usn password when it asks for it.

If you have a private OneDrive connected to the university's email, you will be asked if it is a job or private, select job if it is a job account you want to connect and private if it is a private account you want to connect.

 

When everything is in order, one should be able to see the service on the "file menu", one for personal area "OneDrive - USN" and one for public areas "Sites - USN".

If you want to connect a private area, go to "Onedrive" and fill in the username and password for your private account.

If for some reason (on a private PC maybe?) You want to connect USN-onedrive manually, you have to go to "Add a Place" and select "Office 365 Sharepoint", log in with <username> @ usn.no and your common passwords.

 

OneNote

When logging in to OneNote, you can access notepads in the cloud (onedrive), here you also use <username> @ usn.no and your usual password. Either OneNote asks for this at the first start-up, or you have to log in by clicking on "log in" at the top right.

You should then be able to open your notebooks from the cloud on file -> open, just like in Word. Here, too, onedrive refers to the private onedrive service.

 

-There may be a message that onedrive must be updated before use, click it away, this resolves itself after a few seconds as it is updated automatically when needed.
