Mailing lists and shared mailboxes

USN has the following options for mass mailing of email:

Membership in the organizational mailing lists is mandatory, but the campus lists can be adjusted and mailing lists / shared mailboxes can be created as needed. See below for more information.

Note: You can find the addresses of all these recipients in the Outlook Address Book.
 

 

Mailing lists for organizational units

There are organizational mailing lists for each faculty, department and section in the organization.

Employees at a department will automatically receive membership in the email list for both the department and the faculty to which they belong in addition to the list for all employees at USN. In the same way, the employees in a section will have membership in the mailing list for both their own section and the department to which the section belongs (in addition to the list for all employees at USN).

When a person is hired, this is reported to the personnel service by the immediate manager. The person is then registered as a professional in FS. It is the organizational affiliation registered in FS that determines which organizational mailing lists the employee joins. Part-time teachers and scholars are registered at the department where they are employed. Retirees with an emeritus agreement are registered at the department with which they have entered into an agreement. Likewise, working conditions that cease will be reported to personnel service by the immediate manager. The employee will then be removed from the organizational mailing lists.

Campus mailing lists

There is one mailing list per campus.

All employees will automatically be subscribed to a campus mailing list. When a person is hired, this is reported to the personnel service by the immediate manager. The person is then registered as a professional in FS. It is the campus that is registered in FS that decides which campus email list the employee joins.

Note 1: The purpose of the campus mailing lists is to send out campus-specific information.

Note 2: Membership in the mailing lists for campus is voluntary, and you as an employee can sign in and out of these mailing lists yourself at your own request. If you belong to several campuses, you can join the lists for the other campuses.

Manually created mailing lists

If a group of employees needs mailing lists beyond what is created automatically, manual mailing lists can be created.

Use the form for ordering additional IT services to order a mailing list (in Norwegian). 

Note: Specify a person who can be responsible for the mailing list. Use the comment field in the form. This person becomes the owner of the mailing list and is responsible for registering people in and out. Only the owner of a mailing list can register members in and out of the mailing list.

Shared mailboxes

A shared mailbox is a mailbox that multiple users can open to read and send emails.

The shared mailbox is located in users' Outlook clients (as an additional inbox). With shared mailboxes, groups of users can read and send email from a shared mailbox. Users can also share a common calendar so that they can, for example, plan and view holiday plans or work shifts.

Use the form for ordering additional IT services to order a shared mailbox (in Norwegian).

Note: Specify which people will have access to the shared mailbox. Use the comment field in the form.
