What is OneDrive, the Cloud Storage Service?

Microsoft OneDrive for Business is a sync / cloud storage service and works almost the same as DropBox or Google Drive.

OneDrive is a service where you log in with a private or corporate account in the client and choose which folders to sync to the cloud.

The OneDrive client can be used to synchronize files between a work account or personal account and a computer or mobile device.

In labs and classrooms: The Onedrive client is switched off to avoid data going astray and filling up common machines. Onedrive is used directly without being stored on a local machine (synchronized) via the icon that looks like this:

Benefits of OneDrive

  • You can access documents / files from anywhere.
  • In OneDrive you can work on the files in the cloud even from tablets, phones, etc. This is very suitable for teaching material in that you can have a synchronized folder on your laptop, but if necessary you can also download it in the cloud.
  • You can revert to previous versions of files, and you can recover deleted files (up to 30 days back in time).

Disadvantages of OneDrive

  • Errors on files (deletion, error editing, virus infection) you make will also be synchronized. In such cases, keep in mind that it is possible to revert to previous versions or recover files up to 30 days.
  • Synchronization can also fill up your computer if the folders you have chosen to synchronize are larger than the free hard disk space.
  • Content in Onedrive must be considered published. If you can not send it by email to everyone, it is not recommended to have it in a foreign cloud solution.
  • The University or IT has no control or responsibility for your content in OneDrive.

Responsibility

You are responsible for ensuring that you do not synchronize content with personal information, or information that is sensitive for other reasons (internal information that other companies / governments should not have access to).

Important to know

When it comes to synchronization, you need to know a few basic things.

  • Do not select drive M: \ (employees) or other cloud storage services as the local synchronization folder. This will lead to problems. OneDrive is designed to sync between cloud and local drive.
  • Do not expect the synchronization to take place immediately. If you have just saved a change to an important file that you plan to use from the cloud or another computer, please check the synchronization status before shutting down the computer.
